Civic Center

The Lone Tree Civic Center is used for many City events including City Council, Municipal Court hearings, and most Commission, Boards and Committee meetings. The community rooms may also be reserved to provide a public meeting space for Lone Tree residents and groups.

Community Room Reservation

The Lone Tree Civic Center may be reserved to provide a public meeting space for Lone Tree residents and groups. The Civic Center is only available for use by organizations and groups that have at least one Lone Tree resident as a member. View the Community Room Use Policy for complete information.

Reserving a Meeting Space

To reserve a meeting space, applicants must: 

  • Be Lone Tree residents 
  • Verify meeting time is currently not in use using the Civic Center Calendar 
  • Complete and submit an application 
  • Read the Community Room Use Policy 

Room Information

There are two community rooms available that may be reserved to provide a public meeting space. Community Room A has a carpeted floor finish, and Community Room B has a concrete slab floor finish.

Community Room Use Policy

The City of Lone Tree (the City) makes two Community Rooms at the Lone Tree Civic Center, 8527 Lone Tree Parkway, available for reservation by City residents and groups that serve City residents. Residents and groups that serve residents may use the rooms for public meetings, activities, and programs of general public interest to residents and their invitees.

The Community Rooms are available for reservation from 7:00 a.m. to 9:00 p.m. The rooms have a maximum occupancy of 50 people. The rooms include:

  • Community Room A, which has a carpeted floor.
  • Community Room B, which has a concrete-slab floor.

The City may revise or repeal this policy at any time to manage the City’s administrative and office-space needs.

The Civic Center is available for either a one-time reservation or a series of reservations each year.

  • Reservations for the current year must be made at least 48 hours prior to the requested date.

  • Residents and groups that wish to use the facility in the next year are recommended, but not required, to submit a reservation application by October 15th.

  • Completed applications received by this date will be processed and the schedule will be posted on the Civic Center Calendar on or before November 13th, if the City is able to accommodate their request.

Applications received after October 15th will be considered on a first-come, first-served basis.

Prioritization schedule for applications:

  1. City-sponsored programs, activities, and meetings.

  2. Recurring-use requests from governmental entities, quasi-governmental entities, homeowners’ associations, and nonprofit organizations.

  3. One-time-use requests from governmental entities, quasi-governmental entities, homeowners’ associations, and nonprofit organizations.

  4. Other recurring-use requests.

  5. Other one-time-use requests.

The City of Lone Tree reserves the right to cancel a scheduled event or meeting without prior notice.

Due to the high demand for the Community Rooms, usage is limited to no more than eight (8) hours per month per group.

The City of Lone Tree asks that you notify the administrative office at 303-708-1818 immediately of any cancellations.

Use of the Civic Center is free of charge. However, the City may require a refundable security deposit as provided in this policy and the City’s adopted fee schedule. The City will administer all security-deposit requirements, waivers, refunds, charges, and related reservation decisions using objective, reasonable, and viewpoint-neutral criteria. A deposit requirement, waiver, or charge will not be based on an Applicant’s viewpoint or the viewpoint expressed through a permitted use of the Community Rooms.

Multiple-event users must provide the refundable security deposit established in the fee schedule during their first 12 months of use. After 12 months of use in good standing, a security deposit will not be required for subsequent reservations, unless the user falls out of good standing, in which case the City may reinstate the deposit requirement. However, any individual or group with an existing recurring series of reservations in the 2026 calendar year is not required to provide a security deposit, so long as they remain in good standing under this policy.

Single-event users must provide the refundable security deposit established in the fee schedule for each reservation.

The City will refund a security deposit after the applicable reservation, or after the applicable 12-month deposit period, if the user has no unpaid charges for damage, cleaning beyond normal wear and tear, lost or unreturned security-access cards, or other documented violations of this policy. If the deposit does not cover the amount owed, the user remains responsible for the outstanding balance.

The City Manager, City Clerk, or designee may waive the security deposit requirement.

An Applicant must cancel a reservation at least fourteen (14) days before the scheduled reservation date to receive a refund of the applicable security deposit. A reservation cancelled fewer than fourteen (14) days before the scheduled date will forfeit the security deposit.

All Users must comply with the following requirements:

  1. Eligibility and supervision. The Community Rooms are available only to groups whose Applicant is a City resident. The Applicant must provide valid proof of a City address with the application. The Applicant, another City resident designated by the Applicant, or a City representative must be present throughout the approved use.
  2. Applicant responsibilities. The Applicant must remain present throughout the approved use or designate a substitute (who is a City resident) who will be present. The Applicant is responsible for (a) monitoring guests and ensuring compliance with applicable federal, state, and City laws and policies; (b) orderly conduct during the reservation; (c) any damage to the Civic Center or its contents; and (d) ensuring the Community Room is vacated by the approved reservation end time.
  3. Parking. Parking for a reservation is limited to the Civic Center parking lot’s 29 spaces, including two accessible spaces. On-street parking is prohibited. Overflow parking is available at the Cool Creek Pool parking lot, directly east of the Civic Center, but only when the pool is not in use.
  4. No City endorsement. Advertisements and announcements about a Community Room use must not state or imply that the City endorses the Applicant, Group, event, organization, or any viewpoint expressed at the event.
  5. Cancellations. Applicants must promptly notify the administrative office of a cancellation by phone at 303-708-1818.
  6. Building access and security. Users must enter through the Civic Center’s main entrance. Upon departure, users must turn off lights and close doors. If other occupants remain in the building, users must not lock the exterior doors. If the Applicant’s Group is the last to leave, the Applicant must ensure the exterior doors are closed and locked using the security-access card.
  7. Restricted areas. The Council Chambers on the main floor are not available for public use and Applicants, Groups, and their guests may not access them.
  8. Security-access cards. The City will issue one security-access card to each Applicant. The Applicant must obtain the card from the City Offices at 9220 Kimmer Drive, Suite 100 and return it within two business days after the Applicant’s last scheduled event. The Applicant will be charged the replacement fee in the City’s adopted fee schedule for a lost or unreturned card. The City may apply the Applicant’s security deposit to any unpaid replacement fee, and the Applicant or Group remains responsible for any unpaid balance.
  9. Prohibited activities and materials. Users may not:
    • Use the telephone for anything other than local calls;
    • Bring or serve alcoholic beverages;
    • Smoke, including electronic cigarettes and vaping devices, or burn candles or incense, anywhere in the Civic Center;
    • Attach any item to the walls; or
    • Place signs or decorations on the building’s exterior.
  10. Set-up, clean-up, and removal of property. All set-up and clean-up must occur within the approved reservation time, and Applicants must include that time in the reservation request. Immediately after the event, Applicants must remove all displays, easels, audiovisual equipment, rental tables, serving trays, and other materials. Applicants must also clean spills, return tables and chairs to their pre-event condition and configuration, and report any carpet spills to the administrative office.
  11. Trash, damage, and cleaning charges. For each event, Applicants must bag perishable trash and place it in the trash receptacles on the stair landing outside Community Room A. If a Community Room requires cleaning beyond normal wear and tear, the Applicant will be charged the applicable cleaning fee in the City’s adopted fee schedule. The Applicant will also be charged for repair or replacement of property damaged during the approved use. The City may apply all or part of the security deposit to cleaning, damage, replacement, or other amounts owed under this policy. If the deposit is insufficient, the Applicant or Group remains responsible for the unpaid balance. Failure to pay required charges may affect good standing and eligibility for continued use under this policy.
  12. Reporting damage or repair needs. Applicants must promptly report any damage or need for repair they observe to the administrative office at 303-708-1818, whether or not the Applicant’s Group caused it.
  13.
